The Onboarding Client Specialist plays a crucial role in ensuring a smooth and positive transition for new clients as they begin their partnership with our company. This position involves managing the onboarding process from start to finish, providing support, guidance, and training to new clients to ensure they are fully integrated and able to utilize our services effectively.

The Onboarding Client Specialist will work in our Jacksonville, FL, office. Flexibility to work outside normal business hours to accommodate clients in different time zones may be necessary.

Onboarding Client Specialist Responsibilities

Client Onboarding:

  • Manage the end-to-end onboarding process for new clients, including the setup of accounts, customization of services, and integration with existing systems.
  • Conduct orientation sessions, webinars, and training to educate clients about product features, usage, and best practices.
  • Serve as the main point of contact during the onboarding phase, addressing any client questions or concerns promptly.

Client Relationship Management:

  • Build and maintain strong, long-lasting relationships with clients during the onboarding phase.
  • Work closely with the sales, customer support, and technical teams to ensure a seamless transition from sales to service delivery.
  • Identify potential challenges or areas where clients may need additional support and proactively address them.

Project Management:

  • Coordinate and monitor the progress of onboarding projects, ensuring all tasks are completed on time and meet the client’s expectations.
  • Document the onboarding process and update records to reflect the status of each client’s onboarding journey.

Feedback and Continuous Improvement:

  • Gather feedback from clients regarding their onboarding experience and identify opportunities for process improvement.
  • Collaborate with the product and development teams to suggest enhancements based on client feedback and onboarding experiences.
  • Annual check-in with clients to assess services and possible upgrades to services.

Reporting and Documentation:

  • Prepare regular reports on onboarding progress, client satisfaction, and areas for improvement.
  • Maintain accurate and detailed records of all client interactions, onboarding activities, and feedback.

Requirements

Education:

  • At least 4 years in a similar role.
  • Some accounting/tax experience preferred.
  • Marketing experience is a plus.

Experience:

  • Proven experience in client onboarding, customer success, or project management.
  • Strong understanding of customer service principles and practices.

Skills:

  • Excellent communication and interpersonal skills.
  • Strong organizational skills with the ability to manage multiple projects simultaneously.
  • Problem-solving mindset with the ability to anticipate client needs.
  • Proficiency in CRM software and other relevant tools.
